Stantec Inc. values its relationships with you as a client, investor or other member of the public and is committed to the protection of your personal information. As of January 1, 2004, we intend to meet our obligations under private sector privacy laws.
 
Various provincial, state and federal laws, both in Canada and the United States, govern the collection, use and disclosure by Stantec Inc. of personal information used for a commercial activity.
Privacy Compliance
In order to comply with these laws, we will:
  • Obtain consent for collecting, using, and disclosing personal information, except when inappropriate (e.g. in an emergency or when consent would compromise the availability or accuracy of the information). We will obtain your consent in a form appropriate to the sensitivity of the information and allow you to modify or withdraw your consent.
  • Collect personal information only for reasonable purposes and only as much as is reasonable for those purposes. Except when inappropriate, we will collect personal information directly from you and inform you of how we will use and disclose the information.
  • Use and disclose personal information only for the purposes for which it was collected, unless you consent to a new use or the privacy laws permit use or disclosure without consent.
  • On request, provide you with information about the existence, use and disclosure of your personal information and provide access to that information, if reasonable. On request, we will correct information that is inaccurate, other than opinions.
  • Ensure that any personal information is as accurate as necessary for the collection purposes; ensure that personal information is secure; and keep the information only as long as reasonable for business and legal reasons.

Purposes for Collection, Use, and Disclosure
When we collect personal information from our clients, investors and other members of the public, it will be used and disclosed for the following purposes to:

  • establish and maintain responsible commercial relations with you
  • understand your service and/or project needs
  • develop, enhance, market or provide products and services to you
  • manage and develop our business and operations
  • meet legal and regulatory requirements

When you voluntarily give us your personal information and we only use or disclose it for the above purposes, you are giving us your implied consent. If we intend to use or disclose your personal information for a purpose other than those above, we will seek your express consent.

If you object to the collection, use or disclosure of your personal information for the above purposes, please Stantec's privacy officer.

You may withdraw your consent at any time, subject to legal or contractual restrictions, by giving us reasonable notice.

Privacy Policy
Our new Privacy policy outlines how Stantec Inc. intends to comply with the privacy principles detailed in various provincial, state and federal laws, both in Canada and the United States. Stantec's privacy officer is responsible for ensuring that we comply with our Privacy policy and with applicable private sector privacy laws.

Protection of Personal Information
Stantec will use reasonable security safeguards to protect your personal information against unauthorized access, use, disclosure, loss, modification or destruction. Stantec's employees will continue to follow Stantec Inc.'s long-standing Confidentiality policy as well as other security policies and procedures. 

Access and Correction Requests
Anybody can request access to their own personal information and can also request correction of an error or omission in their personal information. In responding to an access request, we may have to sever some personal information in accordance with the exception provisions in the legislation.

Requests for access to or correction of your personal information should be made in writing to Stantec's privacy officer.

Handling Complaints
If you feel that Stantec Inc. is not complying with its Privacy policy or with private sector privacy laws, you may lodge a complaint with the privacy officer who will appoint someone in authority to investigate the complaint. The Complaint handling process is outlined in our Privacy policy. If the complaint is not resolved to your satisfaction, you may make a written request to the appropriate provincial, state or federal privacy officials asking them to investigate the complaint. Stantec has implemented an accounts payable imaging and workflow solution whereby vendor invoices will be routed electronically for approval and workflow. This system change will reduce the lag time that is inherent in a manual paper-based process and will improve the efficiency with which transactions are processed.

Sustainability
We encourage you to support Stantec’s commitment to sustainability by submitting electronic invoices as a PDF or TIFF attachment to an email and sending it to Stantec.Accounts.Payable.Invoices@Stantec.com. Electronic invoices can help reduce the costs and delays associated with printing, processing, mailing, and storing paper invoices. E-invoices will also enable you to deliver your invoices to us immediately, ensuring that they will be processed and approved in a timely manner.
 
By switching from hard copy to electronic invoices, we expect to achieve annual environmental savings of 16 metric tons of wood, 126 million BTUs of energy, over 11 metric tons of greenhouse gases (CO2 equivalents), and almost 94,000 gallons of water. (Environmental impact estimates were made using the Environmental Defense Fund Paper Calculator).
 
Required Specifications
To accommodate our system the invoice must be submitted as an attachment to an email in either a PDF or TIFF format. When submitting invoices via email please remember the following requirements:
• Invoices must be sent in supported file formats. I.e., Multi-page PDF or Multi-page TIFF.
• Send only one invoice per attachment.
• A single email message may have multiple attachments.
• Email messages must be smaller than 10 megabytes (10485760 bytes).
If your billing system can output invoices in PDF or TIFF formats without printing first, it would be the preferred method. This should result in a high quality image of a smaller file size.
 
When scanning your paper invoices to create PDF or TIFF files, please use our recommended scanner settings which balance quality and file size.
• Resolution - 300 DPI
• Color Depth – Black & White (1bit)
• Exclude blank pages
Tips:
Always consult your IT department to determine your system’s capabilities and before purchasing or downloading any software.

Invoice Information Requirements
Your assistance is required for this process to be effective. When submitting invoices to Stantec please ensure that you clearly identify the following on your invoice:
  • The Stantec project and task numbers for which the services or goods were ordered. These may be displayed as the purchase order number if appropriate for your system. Please contact your Stantec project manager if you are unsure of the project and task number to use;

and/or

  • The "ship to" address or office ordering the services or goods and the full name of the Stantec employee who placed the order.
Electronic Payments
As a recipient of payments from Stantec, your organization may be able to take advantage of Stantec’s Electronic Funds Transfer (EFT)/Automated Clearing House (ACH) program.  Electronic payments are not subject to handling and mailing delays associated with paper checks.  In addition, electronic payments are automatically and securely deposited into your organization’s designated bank account.  They are sheltered from the risk of misrouting, theft and/or forgery.
